Frequently Asked Questions

Renting a property can be a daunting experience but we are here to help. To help you answer some of the questions you may have, we've gone ahead and provided some answers to frequently asked questions. If your question is not listed below, simply give us a call and we will answer your questions.

How do I Make an Appointment to See a Property?

Feel free to give us a call on 647-258-4831 or email us at rent@thepropertycollective.com.

What Should I Bring to the Viewing?

To have a better chance of securing a property, it is advisable to bring a current credit check no older than 30 days, a recent employment letter, and a current landlord letter as well as a copy of your photo ID. We also require that a deposit of 1 month’s rent be submitted when you want us to review your application form and documents. Other documents may be required depending on your specific situation.

What are Your Application Requirements?

We require a credit check, photo ID, employment letter, current landlord letter, previous landlord reference, and 3 personal references. In some cases, you will be asked to provide a notice of assessment issued by the CRA, property tax statements, mortgage statements or any other information that we feel would be required to assess your ability to afford the property.

What if I Do Not Meet Your Requirements?

Unfortunately we cannot approve every application we receive. In many cases, we help tenants find other accommodations.

Is a Deposit Required?

Yes. The deposit is 100% refundable if you are not approved for the property. If you are approved then your deposit will be applied to your last month's rent.

How do I Know if I am Approved?

If your application is approved, then your leasing agent will contact you and provide you with the next steps.

How Will I be Notified if My Application is Rejected?

Unfortunately we can receive dozens of applications for a property. While we try to contact everyone, we are not always able to do so. If you do not hear back from us within 5 business days, then we would recommend to contact our office for an update.

When Will My Lease Start?

Your lease will always start on the 1st of the month. If you require a property for a date other than the first, then we always prorate the rent so that the rental payments will always be due on the 1st of the month.

What is Your Minimum Lease Term?

In most cases, our minimum lease term is one calendar year.

Do You Collect a Key Deposit?

Yes, we collect a refundable key deposit. The amount depends on the amount it costs to replace the keys and one deposit is required per set.

How Can I Pay My Rent?

Rent can be paid by Pre-Authorized Payment from your account or by post dated cheques. We do not accept rental payments by Interac email transfer, cash, or direct deposit into our branch.

What if My Rent Cheque Doesn't Clear?

If your rental payment is not cleared by the bank, you will be immediately required to contact our office to make arrangements for payment. There will be a $27 fee added to your account for each NSF.

How do I Request Rent Receipts?

If you require rental receipts, then please contact our office to make the request.

How to I Submit a Maintenance Request?

You can submit maintenance requests by email, phone or by singing into your online portal (preferred).

How do I Terminate a Lease?

You must provide 60 days valid written notice by submitting a N9 Notice to Terminate your Lease. If you have any questions on how to complete this form, please contact our office. Any errors may result in potential delays and additional expenses.

Do I Have to Give 60 Days Notice to Terminate a Lease?

Yes, you must provide 60 days notice to terminate your lease. There are very few exceptions so if you have any questions, please contact our office to discuss.

Can I Sublease or Assign My Lease?

Yes but under some conditions. If you find yourself in a position where you must vacate the property, please call us as soon as possible. There are several financial penalties if you do not receive consent from our company.

What if I Accidentally Damaged the Property?

You are responsible by law to notify the landlord of any damage that you have caused either on purpose or by accident. If you have damaged the property in anyway, you must inform us immediately. Failure to do so will result in legal action.

Can I Make Repairs/Improvements?

If you are considering doing any work to the rental property, you will require the consent of our company. Any enhancements or alterations to the property may result in you being required to return the property to its existing condition. There are severe financial penalties for making alterations to the property without the Landlords consent.

How Much Notice is Provided to Enter the Rental Property?

In almost all cases, 24 hours notice must be provided to a tenant in order for lawful access to the property. In some cases, where a tenant or landlord has provided notice to terminate a lease,
less than 24 hours notice can be provided (for instance in the event that the landlord intends to show the property to a prospective renter) as long as reasonable effort has been made by the landlord to gain entry. In this case, the law permits shorter notice periods.
